Procedure for Building Access Requests


  1. Owner/Tenant submits access request form.
  2. Management Company
    • Review the “What do you need?” field and the “New Credential Type?” field from the submitted form.
    • Issue a Unit-specific assessment to the owner’s HOA account based on the fee stated in the “New Credential Type” field. 
What do you need? New Credential Type? Unit specific assessment?
“New Credential” “Mobile Device” Apply specified fee.
If already has subscription, BOD will request fee be waived.
“New Credential” “FOB” Apply specified fee.
“Replace FOB”   Apply specified fee.
  1. Credential administrator
    • Evaluates request.
    • Validates submitted Owner’s Email Address is the same as Email Address on-file.
    • Verify if the Credential Holder already has a paid subscription.  If so, notify Management Company to waive the mobile credential fee.
    • NEW MOBILE CREDENTIAL: Complete request within 24 hours.
      • New Subscription:  Create a new HID mobile credential account (if one not created already).
        Send HID invitation and set system to assign next available credential number by selecting the “Select and reserve Mobile ID(s) that will be issued when this user accepts the invitation code to register his or her device.” option. 
        Create Avigilon identity if one doesn’t already exist.
        When credential holder installs and sets up mobile app, transfer credential label and the mobile ID/internal number to Avigilon.
      • Existing Subscription:  Find HID account on the main landing page where it shows the “Users” list (not the users account page) and click the checkbox next to their name. From the drop-down menu at the top of the Users list, select “Send invitation and issue Mobile ID at once” to send invitation and set system to assign next available credential number.
        When credential holder installs and sets up mobile app, transfer credential label and the mobile ID/internal number to Avigilon.
    • NEW FOB CREDENTIAL: Issue the new FOB within 5 business days of the request. Document credential label and the internal number and transfer to Avigilon. Send FOB instructions via email.
    • NEW CALL BOX ACCOUNT: Issues the new call box account within 24 hours of the request and sends a ButterflyMX invitation email.
    • REPLACE MOBILE: Find HID account on the main landing page where it shows the “Users” list (not the users account page) and click the checkbox next to their name. From the drop-down menu at the top of the Users list, select “Send invitation and issue Mobile ID at once” to send invitation and set system to assign next available credential number.
      When credential holder installs and sets up mobile app, transfer credential label and the mobile ID/internal number to Avigilon.  Revoke old credential in HID and expire old credential in Avigilon. Complete request within 24 hours.
    • REPLACE FOB: Expire the old FOB and issue the new FOB within 5 business days of the request. Document credential label and the internal number. Send FOB instructions via email. 
    • DELETE CREDENTIAL: Revoke credential in HID.  Expire the old credential in Avigilon immediately.
    • DELETE CALL BOX ACCOUNT: Remove the name from the call box immediately.
    • If owner did not authorize the request, the Credential administrator:
      • Revokes the new credential and unexpires the old credential
      • Instructs management company to issue a credit to the owner’s HOA account if already assessed.
